A venue can take a V360 Video Booth when it can offer a solid even floor, a power plug or other power source and about half a metre around the booth for the camera arm to rotate at a safe distance from guests who are not using the booth. The small booth platform is 1.5 m by 1.5 m. The large booth platform is 2.5 m by 2.5 m. About a fortnight before the event the team contacts the venue and agrees the allocated space, so you are not left to pick the corner on your own.
What the room has to give
These are the conditions the team is checking with the venue:
- A solid and even floor under the platform.
- Access to a power plug or other power source.
- About half a metre around the booth for the arm to rotate at a safe distance from guests who are not using the booth.
Allow about half a metre around the booth so that arm can rotate safely. The booth is cordoned with stanchions so people stay at a safe distance while the arm turns. V360 brings its own prop table, so the venue does not have to supply one. Wifi is not required.
Mention a slope or a soft uneven surface. The platform needs its own square, 1.5 m by 1.5 m or 2.5 m by 2.5 m, plus the cordon and a path for the arm.
Marquees, sunlight and windows
A marquee is fine. It does not make a venue unsuitable. The booth still needs a solid even floor, a power plug or other power source and room for the arm to rotate at a safe distance from guests who are not using the booth. The stanchions still go around the booth. The issue under canvas is direct sunlight. Sun on the booth overexposes guests on the video so the clip does not show them clearly.
Indoors the same issue is a booth placed in front of a window. V360 has blackout covers for that placement. Use them when the window would throw daylight onto the guests. Tell the team if the clear square is by a window or if the event is in a marquee. They contact the venue about a fortnight ahead and can agree a space with the light in mind as well as the floor.
The fortnight check with the venue
About a fortnight before the event the team contacts the venue to settle on a space allocated for the booth. You do not have to chase the venue. The team regularly sets up across South Wales, West Wales and Bristol and agrees the space with the venue ahead of the day. If the venue is not on the list of places already visited, that by itself does not rule it out. Send the name and the team will speak to them.
On the day the operator or operators arrive one hour before the booked start time and set the booth up discreetly in the agreed space. The build is part of the booking. It is not left to you.
Small booth or large booth
If the space the venue can allocate will take 1.5 m by 1.5 m and will not take 2.5 m by 2.5 m, the small booth is the one that fits. The small booth is a two-person booth with one operator who does everything. It holds up to 2 people at a time. If the room can give the larger square and you expect groups of up to 4 on the platform, the large booth is the matching booking. On either booth the operator guides guests on, positions them, explains how to get the best videos and positions the camera for every person. Ring lights and the room lighting keep people well framed and well lit. Guests are encouraged to dance, look for the camera and pose while the camera rotates and circles them. When the rotation stops they are helped down and shown the video at the sharing station, then helped to download it by AirDrop, a QR code, SMS or email. After the booth closes
The booth runs for the booked time. After the end time the team takes around 45 minutes to an hour to break down and leave, including the stanchions and the prop table. About 12 hours after the booking ends you are emailed a web gallery link with all the videos from the event. You can watch everyone's videos, download them individually and share the link with anyone to view them. You also receive a link to a shared Google Drive folder with all the videos uploaded so you can download them in bulk. Both stay available for six months and no USB is needed. South Wales, West Wales and Bristol
Travel is free across South Wales, West Wales, Bristol and Thornbury. It is not free to Weston-super-Mare, Nailsea, Keynsham, Yate or Long Ashton. For venues in Wales, V360 is Wales' leading dedicated 360 video booth. That wording is for Wales. Bristol sits in the free-travel area and is not described as Wales.

What to send
Send the venue name, the date and whether you are thinking of the small booth or the large booth. If a room has already been suggested, name it. You do not need a finished floor plan first. Small Paper is £175 for one hour and Large Paper is £225 for one hour. Longer hire is on the packages page. Contact V360 Video Booth and the team will agree the space with the venue.
